Course Summary

Do you experience the tyranny of meetings at work – meetings at which little seems to be achieved and which prompt you to ask yourself why you went? Are you responsible for setting and managing meetings during which you wonder how to control the process, the personalities around the table and the time? 

In this workshop, you will gain an understanding of how to link meetings management to the achievement of organisational goals and objectives. We’ll cut to the chase around how to chair, facilitate and manage excellent meetings at which the right participants cover the right agenda in good time, and with their eye on an agreed outcome.

 

§  The cycle and purpose of meetings: main types of meetings and what they can achieve

§  Participants: who comes and what they want.  Open participation and hidden agendas

§  Arranging meetings and setting appropriate documentation so that everyone is clear about purpose

§  Creating the right environment

§  Chairing and facilitating: what’s the difference and how do I get better at them?

§  Managing the ‘tricky trio’ of people, process and time

§  Getting clever at meetings attendance: matching invitations to your objectives and learning to say ‘no’

§  Performing in meetings: how to get your point across in harmony with the discussion at hand

Who Should Attend

This one day course is for those who manage meetings (as chair, facilitator or minute-taker) and know they want to do it better.  Those interested in being more discerning about which meetings they attend, will also benefit from this workshop.

Workshop Timetable 

9.00am    Welcome and coffee

9.15am    Introductions.  Purpose of the day and overview - 

Sharing the meetings we attend and the problems we encounter

9.45am    Types of meetings.  Gaining an understanding of the key reasons why people meet and looking at business cycles   

Understanding and working with decision-making processes and models

11.00am  Break 

11.15am  Participation at meetings.  How can we ensure that  the right people attend? 

Looking at organisational and team goals.  Ensuring that no-one’s time is wasted in going to fruitless meetings at which decisions are deferred and delayed 

Learning to say “no” and “yes” as appropriate

 12.30pm  Lunch

1.30pm    So you’re responsible for setting and managing meetings? 

How to time your meetings, set a brilliant Agenda and produce Minutes which clearly define decisions reached and actions yet to be achieved

2.30pm    Creating a good meetings environment and managing behaviours 

Ensuring that everyone contributes and that their contributions are meaningful

3.00pm    Break

3.15pm    Chairing and facilitating.  There’s a difference and both can be needed 

Become a great meetings manager through understanding and practice of key skills

3.45pm    Bringing it all together.  The ‘tricky trio’ of people, process and time
